Purpose:

Carle Illinois College of Medicine (Carle Illinois) encourages medical students to participate in research, scholarly projects, and experiences that enhance professional development. Carle Illinois may provide travel scholarships to supplement medical students cost of attendance to present scholarly work or to serve as school delegate at regional and national conferences.

Policy

Limited travel reimbursement funding is available for Carle Illinois medical students to present their scholarly work or serve as a school delegate to a national organization. Carle Illinois may support approved expenses for individual eligible students as deemed appropriate.

Eligibility

To be eligible for a travel award, a student must:

  • Obtain approval and complete the necessary requirements prior to traveling to a conference/meeting.
  • Receive approvals from their course/clerkship director and submit appropriate the absence request.
  • Must be a registered Carle Illinois student in good academic standing
  • Complete and submit the scholarship application in the quarter prior to the conference attendance. Exception: the first year of the inaugural class only, applications may be submitted regardless of the quarter.
Travel Scholarship:

To be eligible for a travel award, a student must:

  • Complete and submit the scholarship application in the quarter prior to the conference attendance. Exception: the first year of the inaugural class only, applications may be submitted regardless of the quarter.
Application:
  • Quarter 1: Submit application by June 20th for conference travel beginning in July, August, or September.
  • Quarter 2: Submit application by September 20th for conference travel beginning in October, November, or December.
  • Quarter 3: Submit application by December 20th for conference travel beginning in January, February, or March.
  • Quarter 4: Submit application by March 20th for conference travel beginning in April, May, or June.

Scholarships will generally be determined within 10 days of the application deadline and communicated to the applicant as soon as reasonably possible.

Guidelines:
  • University of Illinois business travel policies must be followed. The travel scholarships for students that primarily benefit the student must be paid as Scholarships or Fellowships.

  • Eligible travel expenses do not include the following:
    • Hotel expenses above $250 per day per person (unless at a conference hotel)
    • Miscellaneous hotel expenses
    • Phone calls and Internet use
    • Alcoholic beverages
    • Membership fees to join conference organizations
    • Registration fees for special events held during the conference including dinner events
    • Printing costs for posters or presentation materials

Additional funding may be available through other sources.
